Refund & cancellation policy

Scope

This policy applies to paid trade marketing services from Runtime Linkhub Trade Marketing, including field route coordination, promoter deployment planning, activation day briefing, coverage mapping and territories, visit reporting loops, and field supervisor coaching. It does not cover products, physical retail merchandise for resale, or online checkout purchases — we do not sell those through this site.

Eligibility

Refunds are considered when we cancel an engagement we cannot deliver, when a confirmed service is not provided as described in the written confirmation through our fault, or when a cancellation qualifies under the timeframes below. Informal website form submissions without a confirmed engagement are not charges and need no refund.

Timeframe

Cancellation requests should be sent in writing to hello@runtime-linkhub.digital. For scheduled briefings, coaching sessions, or live coordination cycles, notice at least seven (7) days before the first confirmed session or field week start is generally required for a full refund of prepaid service fees, minus any non-refundable third-party costs already committed with your approval.

Full and partial refunds

If you cancel seven or more days before the start date and work has not begun, prepaid fees for unused services are typically refunded in full, excluding approved third-party commitments. Cancellations between three and six days before the start may receive a partial refund of up to fifty percent (50%) of prepaid fees for unused portions. Cancellations with less than three days’ notice, or after planning or on-floor coordination has started, are generally non-refundable for the portion already underway.

Non-refundable items

The following are non-refundable once incurred or approved: travel booked for agreed regional clusters when you asked us to proceed, venue or room costs for briefings already reserved, custom map or roster packages already completed and delivered, and deposits clearly marked as non-refundable in the engagement confirmation.

Work already started

If route planning, deployment design, briefing preparation, or live coordination has begun, fees covering completed stages remain due. We will itemize completed versus remaining work and refund only unused prepaid amounts where applicable.

Purchased materials

When printed day sheets, map packs, or briefing handouts are produced through partners on your instruction, those material costs are non-refundable after the production order is placed. Unused digital files already delivered remain available to you under the engagement terms.

Deposits

A deposit may be required to reserve briefing dates or begin planning. Deposits are applied to the final fee. Deposits become non-refundable when stated in the confirmation or when cancellation falls inside the short-notice windows above.

Rescheduling

You may request to reschedule briefings, coaching, or a coordination cycle start once without penalty if you give at least five (5) days’ notice and mutually available dates exist within thirty (30) days. Further reschedules or shorter notice may incur a rescheduling fee reflecting planner and supervisor adjustments.

No-shows

If required client contacts, promoter cohorts, or store access lists are not available at the agreed time without timely notice, that session or planning milestone may be treated as delivered for billing purposes. We will offer one makeup slot when commercially reasonable; additional attempts may be re-quoted.

Refund process and timing

Email hello@runtime-linkhub.digital with your engagement reference, reason, and preferred contact number. We confirm eligibility within five business days. Approved refunds are processed within fourteen (14) business days using the original payment method when possible, or another mutually agreed method such as bank transfer in Thailand.

Exceptions

If retailer access or campaign windows are withdrawn for reasons outside either party’s control, we will attempt to rebook or convert the engagement to desk deliverables (for example, route plans and maps only). If neither is possible, unused prepaid fees for undelivered live coordination are refundable. Force majeure events may pause timelines without penalty to either party.
